HVAC Purchasing and Warehouse Coordinator
Come join a rapidly growing HVAC company serving the Greater Houston/Galveston area. We are seeking an experienced Purchaser and Warehouse Coordinator to help us serve residential and commercial customers.
Key Responsibilities:
The Purchasing and Warehouse Coordinator will manage the inventory levels and timely availability. Oversee Work Order processing, including the loading and unloading of the crews, focused primarily on job costing accuracy. Responsible for ordering, receiving, and delivery of all equipment and materials, inventory stocking program, assisting with all warehouse functions. Network and create working relationships with vendors to. Clear and concise communications with company customers, including keeping Department Managers and team members appraised to order lead times and product arrival. Assist with product trainings with vendors. Utilize company process to estimate residential and commercial HVAC and Insulation costs to optimize turnaround time for proposals. Processing all warranties and rebates.
Required Skills & Qualifications:
•3+ years of HVAC Purchasing experience
• Ability to multi-task
• Organized
• Valid Texas Driver’s License with clean driving record
• Knowledge of HVAC industry is REQUIRED
• Ability to set and manage timeline goals
• High level of Pride in efficient operations
• Must be able to pass a drug test
• Proficient computer skills: especially in Excel
• Ability to remain professional even under stress
Preferred Skills:
• Bilingual: English and Spanish
• Work history as a Service Technician
• Experience with Service Titan software
• More than the required years of HVAC experience, especially in Project Management or Installations
• Residential new construction background,
• Wine systems background.
Duties:
• Ensure Shop is open or secured at designated times.
• Monitor all sold jobs, communicate purchasing issues with other Departments.
• Review all sold jobs to gather materials list and order or pull inventory as needed to meet scheduling expectations.
• Communicate with all stakeholders during the entire procurement process.
• Assist Production and Service Managers to get installers and technicians loaded in a timely manner.
• Review all purchase orders for accuracy in counts and pricing, including will-call / pick-up invoices.
• Receive deliveries from vendors, unload and stock materials in warehouse and service vans.
• Ensure correct equipment for jobs is purchased and ready for installs.
• Maintain target inventory levels to optimize cashflow, limit stock outs, and prevent obsolete inventory.
• Process warranty claims on equipment.
• Ensure all work order load lists are completed based on installation design.
• Check all assigned jobs in progress each day for quality & on time status.
• Review Bid Requests and manage accurate records/spreadsheet for timely bid submittals to clients.
• Review cutsheets to estimate material needs & provide accurate costing information to Sales.
• Work directly with vendors to maintain competitive pricing and source materials.
• Make certain that all jobs for the next day have been pulled and staged in the loading area.
• Pick up materials from vendors and deliver to installers.
• Coordinate drivers and warehouse personnel.

Performance Indicators:
Certain key business indicators that will measure the effectiveness of the Purchasing Coordinator, these include the following:
• Number of times crews are/aren’t prepared with the accurate materials for the job each day.
• Amount of material that either needs to be delivered (shortage) or is returned (overage) for each job.
• Number of problems that arise as a result of jobs not being installed according to original or revised layout and design.
• Organization and cleanliness of the warehouse and office
• Quantity of rush orders will call as a result of poor planning.
• Accuracy of job cost estimates.
• Closing all POs withing 24 hours for billing and job costing
• Quality of installers’ paperwork and documentation of operations/installations.
• Number of times jobs not started on time.
• Growth in company Sales and Profits as a result of effective processes developed and implemented by Purchasing - Warehouse Coordinator
• Proper communication with leadership and accounting about warehouse needs.
•Creativity and innovation demonstrated by the Purchasing-Warehouse Coordinator
Compensation & Benefits
$20 to $35 an hour
